The role is a highly visible customer facing role within NNL, providing essential administrative support to employees and visitors and support to local building management.

NNL's administration team provides a wide variety of duties and support to internal and external customers. Reception cover, visits co-ordination and Document Control are just a few of the regular tasks in the day-to-day role. As Lead Document Controller, organisation, checking and issuing of documents as well as guiding the Document Control team are also a significant part of the position. As a key member of the office, flexibility is required to cover Risley and Preston.

Hybrid working is not available for this office based role.

Role Responsibility

Main Responsibilities for Management Support Administrator:

  • Undertake day to day administration in association with the reception desk facility including visit coordination, inductions and access control, complying with all legislative, regulatory and company procedures and standards with regards the security of the office. 
  • Support Office Manager and deputise where required to ensure adequate cover.
  • Document Control Co-Ordinator – responsible for the co-ordination and training of all current and new Document Controllers in addition to checking and issue of Customer reports with the team to specified time, cost and quality standards.
  • Arranging travel bookings: air, rail, taxi and car hire requests, hotel bookings, conference facility bookings.
  • Support to Office Manager to ensure maintenance is undertaken in a safe and secure manner and emergency arrangements run smoothly. 
  • Ordering of stationery and consumables for office including One Card reconciliation.
  • First Aider/Fire Warden.
  • Receive calls to main switchboard and accurately record details, acting on information provided.
  • General administrative duties to include, but not limited to, updating spreadsheets and noticeboards, arranging postal/courier deliveries, raising of purchase requisitions and arranging payment within finance system along with providing budgetary information to the Building Management and arranging meetings and room bookings.
  • EHS&Q Committee Secretary promoting good housekeeping and a safe working office environment.

The Ideal Candidate

Essential Criteria for Management Support Administrator:

  • Proven experience of organisational skills and time management skills.
  • Ability to build and maintain strong relationships across the business.
  • Detail orientated and the ability to work to stringent deadlines.
  • Evidence of self-motivation with demonstrable levels of drive, energy and resilience.
  • Strong communicator and good interpersonal skills.
  • Proactive.
  • Proficient in all MS office packages.
  • Willing to work flexibly and as a member of a team.
  • GCSE Math's and English.
  • Ability to train to become First Aider and Fire Warden and attain IOSH Managing Safely.
  • Ability to obtain SC level security clearance (this includes but is not limited to identity, employment, financial and criminal record checks plus 5 years’ worth of UK residency).

Desirable Criteria for Management Support Administrator:

  • IOSH Managing Safely.
  • First Aid trained.
