The Supply Chain Contract Administrator will work with Supply Chain Contract Managers to support the management of supplier contracts across a wide range of categories such as construction, facilities and Capital equipping, therefore some prior knowledge would be an advantage.  The postholder will provide administrative and analytical support to the Supply Chain Contract Managers, including preparation of data and reports, organisation of meetings and agendas, note taking and monitoring & reporting on Key Performance Indicators. 

The role can be based in either Warrington or Workington with agile working available to work from home.  Job sharing / part time would also be considered for the role. 

Role Responsibility

Main Responsibilities for Supply Chain Contract Administrator:

  • Support the promotion and use of NNL’s procurement and contract management procedures.
  • Select appropriate contract terms & conditions to be attached to purchase orders, ensure contract references are quoted and delivery details are correct in accordance with authorisation policies.
  • Ensure Contract Management Plans are updated as instructed and are shared appropriately.
  • Support the Supplier Relationship Management process by undertaking administration required to ensure meetings are diarised, agendas produced and minutes taken.
  • Produce periodic supplier intelligence briefings for senior management, Executive Leadership Team and the NNL Board to enable productive conversations at a strategic level.
  • Engage with stakeholders across the organisation and act as first point of contact to the broader NNL community on contract management issues, ensuring queries/questions are dealt with by the appropriate person in a timely manner.
  • Support the contract managers on specific tasks, such as set up of meetings/maintaining diaries, producing reports and Key Performance Indicator results, maintaining project plans etc.
  • Release discrete low value / low risk Purchase Orders and those under framework agreements up to £25K.
  • Use Business World system system to issue Purchase Orders to suppliers, liaise with other departments to ensure Goods receipts are completed and invoices are paid.
  • Ensure adherence to all legislative, regulatory and company procedures and standards e.g. health, safety, quality, risk, security.

  • Ability to obtain BPSS level security clearance (this includes but is not limited to identity, employment and criminal record checks). 

Desirable Criteria for Supply Chain Contract Administrator:

  • Previous experience of working in a procurement team.
  • Previous experience of using IT systems to process requisitions / purchase orders.
